Private Patients and Cash-Plan Insurance Patients


Booking

We use the JaneApp clinic management system to process and manage all bookings.  In order to make a booking you will need to register an account and provide your name, address, email and telephone contact details.  You will also need to register a valid credit or debit card as a means of payment.

Payment

Payments for Private patients and Cash-Plan Insurance patients will be taken automatically at the time of booking. When the payment is processed your appointment will be confirmed. Unfortunately, we can't accept cash or cheques. Invoices are generated in full at the completion of the appointment.

Cancellation

Appointments which are not attended and appointments which are cancelled within 24 hours of the appointment start time will be charged at the full appointment rate.

Appointments which are rescheduled within 24 hours of the appointment start time will be charged at 50% of the full appointment rate.

If you are running late for your appointment please contact us as soon as possible. We'll try our best to fit you in on the same day, but if that's not possible the appointment will be treated as a late reschedule.

Direct Indemnity Scheme Insurance Patients

We are an approved partner of the following Health Insurers and we can charge directly to them if your Insurance scheme allows it:

    Aviva, Axa, Bupa, Vitality, WPA

Booking

To make a booking, Direct Indemnity Scheme patients must contact the clinic manually via WhatsApp, Telephone or Email.

If you're making appointments under these schemes, please make sure you have the following details before booking, as they will be needed to confirm your appointment:

    Your Insurer Name
    Your Scheme Name
    Your Policy Number
    Your Policy Excess

When making your first appointment you will need to provide these details along with your name, address, email and telephone contact details. You will also need to register a valid credit or debit card. The booking will be reserved for up to 48 hours whilst your policy details are confirmed with your insurer. Once verified with your insurer, you will receive confirmation of your booking completion.

If you fail to provide valid insurance details then your appointment will default to a Private Patient appointment, your registered credit or debit card will be charged the full rate of the Private Patient appointment, and the standard Private Patient Payment and Cancellation policy applies (see above).

Payment

If we are able to validate your insurance details we can bill your insurer directly through their online portals. You may be required to pay an excess to your insurer depending on your scheme terms.

In the event that your insurer fails to cover the costs of treatment, Direct Indemnity Scheme patients will be liable for the full amount billed.

Cancellation

If you don't attend one of your appointments, or cancel or rearrange an appointment within 24 hours of the appointment start time, the full appointment cost will be charged to your registered credit or debit card.

Care Packages


Booking

Our care packages and class packs are structured with defined durations and expiry dates. These timeframes are intentional and are designed to support consistency, continuity of care, and meaningful progress. Clinical evidence and best-practice guidelines indicate that regular attendance over a defined period supports habit formation, neuromuscular activation and control, strength development, and rehabilitation outcomes.

Each package or pack must be used within its stated validity period. Any unused sessions remaining after the expiry date will lapse.

Package Structure

Where applicable, treatment sessions within a package may be used interchangeably between services of a similar tier (for example, chiropractic treatment or massage). The most appropriate treatment type and session duration are determined through initial and ongoing clinical assessment, individual goals, clinical necessity, and response to care.

Recommendations regarding treatment type, frequency, and duration are made to support safe, effective, sustainable, and goal-appropriate outcomes, helping to reduce the risk of setbacks associated with over-treatment or over-enthusiastic progression.

Cancellation Policy

All care packages and class packs are subject to the clinic’s cancellation and late notice policy.

In the event of a late cancellation, late reschedule, or non-attendance, the relevant session will be deducted from the package. Where no remaining package sessions are available at the time of the missed appointment, standard cancellation charges will apply in accordance with the clinic’s published policy.

Commitment to Care

By choosing to proceed with a care package or class pack, clients are agreeing to participate in the recommended management plan and attendance intervals as advised by the clinician. This shared commitment supports continuity of care, allows progress to be monitored accurately, and enables treatment plans to be adjusted appropriately over time.

Care packages are not intended to be used on an ad-hoc or sporadic basis.

Marketing

We don't send many marketing mails, but if you don't want to see any you can choose to opt out of them at any time and we'll remove you from our marketing mail list.

We may need to contact you occasionally with notifications of changes in policy, products or pricing.

Data Protection

We treat your privacy seriously.  All clinical records are protected under the GDPR rules.  We don't share any personal information with any third parties without your explicit permission and we are held accountable by the Information Commissioners Office.
